Admissions/Records Officer in Undergraduate Admissions Western Illinois University Work Department: Undergraduate Admissions Class Title/Code: Admissions/Records Officer (2756) Effective Date: Apr 28, 2021 Responsibilities: The primary function of this position is to support new transfer student enrollment by managing transfer course articulations, coordinating the Illinois Articulation Initiative (IAI), admitting transfer students and awarding transfer credit. • Coordinate evaluation of transfer courses between the transferring institution and the WIU departments. This includes sending the syllabi to our department and e-mailing the equivalent decision to the transfer school. Equivalencies are clarified by consulting with representatives from WIU academic departments and continuing to maintain rules for the Transfer Articulation Module. • Evaluate transfer transcripts for students. This includes writing articulation rules if they are not already in place. This includes writing articulation rules for the Registrar’s Office for currently enrolled students and prospective athletes. Writes rules and completes Form-13 forms for Transfer Coordinator. Updating rules based on the Illinois Articulation Initiative (IAI) also applies. • Interpret term, unit, value, and transcript symbols received from the transferring school’s catalog and transcripts and have the knowledge to convert those items to fit WIU protocol. Participate in implementing the Illinois Articulation Initiative with the articulation and evaluation process. Maintenance of articulation decisions in the Imaging system. • Determine and award credit for external examinations (AP, CLEP, & IB). Serves as a specialist and contact campus wide for AP and CLEP information. This includes review and update responsibility for current AP & CLEP articulation found on WIU website and catalog. Maintain and update the University policies on acceptance credit from external testing programs (AP, CLEP & IB). • Serves as a resource for information on the transferability of courses, University policies affecting transfer courses and transfer students, general education designation, and admissions eligibility. Serve as a problem solver for Admissions/Records Officers, Coordinators, Associate Directors, Assistant Director & the Director of Undergraduate Admissions, Non-Traditional Programs, and Office of the Registrar when there are problems with the automated evaluations. Knowledge of articulation error reports and capability of resolving issues. Required Qualifications: High school graduation or equivalent. Any combination totaling five years from the following categories: • work experience involving collegiate admissions, records analysis or records management. • college coursework in any discipline, as measured by the following conversion table or its proportional equivalent: 60 semester hours equals one year; 90 semester hours equals two years; 120 semester hours or a Bachelor’s degree equals three years Starting Salary: $16.19/hr Application Deadline: May 12, 2021 Employment - Information & Instructions Complete an Employment Application online.
