Front Office Coordinator

Position: Front Office Coordinator
Purpose: Managing the front office by opening and closing the office, greeting and directing all visitors, handling all incoming calls, scheduling client meetings, maintaining and updating client database, preparing client forms, maintaining electronic filing system, maintaining client information updates and contributing to the team efforts by working collectively on other office projects as assigned. 
Job Duties:

  • Opens and closes the office
  • Keeps the office clean and orderly
  • Greets and directs clients
  • Answers and directs incoming calls
  • Distributes mail
  • Prepares and sends mail and packages
  • Manages office calendar
  • Initiates reminder calls and emails to clients
  • Reviews client list and sends birthday emails and cards
  • Checks Obituaries and Births for client milestones and sends cards
  • Manages shredding and office supply orders
  • Maintains and prepares mailing labels and envelopes
  • Manages the production of all client forms for client meetings, as directed by the CRS
  • Produces account forms and documents as needed
  • Manages client database – Redtail
  • Verifies/updates information on client records
  • Identifies missing or incorrect information
  • Attach files to database, i.e. agendas, notices, as requested by the advisor
  • Create calendar events and tasks for advisors, as needed
  • Manages electronic filing system – Docupace
  • Creates and maintains an electronic client filing system
  • Scans all client paperwork to Docupace for approval, as necessary
Qualifications: Self-motivated, tech savvy, possess exceptional communication skills, organizational skills, customer service, analytical thinker and can multi-task.  Prior knowledge of retirement planning/electronic documentation storage and client databases are helpful.  Proficient use of Microsoft office programs, email, phone systems, fax, copier.
Flexible Schedule: This position offers flexibility to accommodate different work-life balance needs. Candidates may choose from part-time, ¾-time, or full-time schedules, based on their availability and our firm’s needs.
